5 TSheets Tips You’ll Wish You Knew All Along

Published

Got a problem? Yo, we’ll solve it faster than Vanilla Ice can say, “collaborate and listen.”

We took five common TSheets conundrums and found five incredibly easy solutions that you can implement today. From forgotten phones to forgotten shifts, there’s a TSheets workaround for everything.

1. My employees sometimes forget to bring their cell phones to the job site. How can I get those employees clocked in quickly, without using a computer?

Even the most diligent employees can sometimes forget their smartphones at home. So, how can you get those employees clocked in quickly, without using a computer or adding in a missed timesheet after the fact?

Learn more about TSheets Kiosk.

Download the TSheets Kiosk app to serve as a backup time clock system for employees who forget to bring their phones to work. With TSheets Kiosk, any tablet or computer can be instantly transformed into a time tracking device. Employees simply use the device to clock in or out quickly, using a unique four-digit PIN. Access to TSheets Kiosk is included in with your TSheets subscription, so it’s free for TSheets users!

Turn on the TSheets Crew function to quickly and easily clock in one or more employees from your own mobile device. The TSheets Crew function allows account admins, supervisors, foremen, and crew leads (basically anyone with crew permissions) to clock in individual employees or groups of employees right from the TSheets app.

2. My employees sometimes forget to clock in or out, and I’m drowning in timesheet edit requests. How can I put a stop to this madness?

If “tracking time” is a new policy within your company, it’s going to take some getting used to. Employees are bound to mess up from time to time while they make the transition.

Avoid drowning in timesheet edit requests by allowing employees to manage their own timesheets — at least, in the beginning. TSheets keeps an accurate-to-the-second and detailed log of every single edit, so you’ll always be able to see exactly what changes were made. Then, after they’ve adapted to using TSheets, you can disable timesheet editing for employees. The edit requests should be much further and fewer between.

Take it one step further by encouraging your employees to turn on clock in/out notifications. If they clock in using a mobile device, TSheets will send them a text or push notification reminding them to clock in at the beginning of their shift and out at the end. If they’re on a computer, TSheets can send email reminders. Suddenly, there’s no excuse for forgetting to clock in. These friendly alerts increase time tracking compliance by up to 99 percent.

3. My employees just aren’t tracking time, even though I’ve asked them to. How can I get them on board?

If employees aren’t used to tracking time, they might resist the new requirement or simply “forget” to clock in each day.

Avoid this by making time tracking an official policy. And put it in your employee handbook. If you’re not sure where to start, the Society for Human Resource Management has a great example, but check with your employment counsel before publishing an official policy.

Once it’s official, firmly introduce the policy to your employees. Remember, TSheets is built for employees. It’s our goal to make time tracking easy — and dare we say, fun. With TSheets, employees can rest assured knowing they’re getting paid for every second worked — including overtime — and they’ll never have to wonder what their paychecks are going to look like. Show them the benefits from the start and your employees will gladly get on board.

4. My employees have questions about using TSheets. How can I help them figure it out?

TSheets is an incredibly powerful time tracking and scheduling tool, and it comes with a lot of bells and whistles (i.e. features and add-ons). But just because a feature or add-on is available doesn’t mean you have to use it.

Enter TSheets’ five-star Customer Experience team. Call, email, or chat with our Customer Experience team right here on our website. They can help you maximize TSheets for your business by turning on the bells and whistles you need and silencing the ones you don’t.

They’ll help you with everything from initial setup to employee onboarding. They’ll even give you some talking points to help get your employees excited about using the #1 rated and requested time tracking app on the planet!

5. My employees are worried the TSheets app will drain their batteries and use too much data. How can I address their concerns?

You’re not alone. TSheets recently conducted an independent survey of 1,000 employees across the United States, and when it comes to installing a workplace related app on their personal phones, data and battery drain is the No. 1 concern.

Squash their fears by showing your employees, step-by-step, how to view data and battery use by app (you’ll find that TSheets uses up an extremely minimal amount of each), and assure them that they won’t be responsible for any unexpected overage fees.

@Glenn Bardsley, we’re so happy to have you! I’m glad to hear TSheets is making things a little easier :)

To answer your question, yes, TSheets can report time in decimal format, or one hundredths of an hour. Most reports default to decimal format automatically, but you can choose to run reports in hour/minute/second format instead.

If you ever have any questions, or need help navigating TSheets, our five-star customer experience team would be more than happy to help you out in any way they can. Give them a call at 888-836-2720 or chat with them right here on our website!

As for your laptop, Windows 7 represents a confusing era in Windows history — perhaps the Best Buy Geek Squad could help? We wish you the best of luck!

I would like to see T Sheets add mileage features. From clock in at a client location to the next client location. This would allow our company to track mileage from point to point, and be able to do analysis and/or reimburse for actual mileage.

    Thanks

We recently started with tsheets and its been great althought some employees do their clock out but when we are checking they do not have a map to check were they clicked out. Are they doing something?

    Myranda Mondry Reply:

@Isabel Diaz, if your employees clock in and out out from a computer, GPS points are not recorded. If they are clocking in and out from a mobile device, their location should show up on the map.

It’s possible that your employees are disabling the location services on their phones, which would prevent GPS location tracking. If that’s the case, you can require location services to be turned on in order for your employees to clock in and out.
