A big concern for employees and employers alike is overtime – making sure it’s calculated properly, that it’s kept in check and that it’s paid out properly. Don’t worry, we know that too! So here are some quick tips and tricks to be sure that your overtime calculations are correct each pay-period, as well as some clarification about how it’s calculated.

First, you want to make sure that your Week Start day and your Pay-Period are set to match. This means that when TSheets asks you to set a day for your week to start, you want it to agree with the day you’ve set that your pay-period closes.

For example, if you run a bi-weekly payroll schedule that closes every other Friday, you want to make sure that your week starts on Saturday and ends on a Friday. If your weeks don’t match, then overtime won’t be calculated correctly.

Those of you with a Semi-Monthly or Monthly pay-period, you probably don’t have the luxury of having a clean full week at the end of each pay-period. If your pay-period ends halfway through a week, all of the overtime hours for that week will be calculated into the next pay-period, not the current one. A good rule of thumb here is that we can’t calculate overtime for a week that hasn’t ended yet because it hasn’t ended yet, so wait until the next pay-period which has the end of the week included for those overtime hours to be included.

Clear as mud, right? Overtime can be pretty tricky, but if you follow the above guidelines, you can rest assured knowing that it’s all taken care of for you by TSheets.

Change. Change is good for us. But for most people, change elicits a sort of dread expressed with words like “have to”, “should” and “need to.” We can tell ourselves that change is good for us but it’s sometimes tough to cope with, especially in business. For most of us, once we make a decision we expect it to stay made. Those decisions we make become institutionalized in our day to day business as we go on to other things.

Why? Well, we get busy making other decisions, and with enough of those on our plate, who wants or has time to go back and rethink the choices that are already decided. We “set it and forget it,” as the saying goes.

Well, typically until we have to revisit those choices. Sometimes others make decisions that force us to change – and we get forced into change – which may well be for the good. Perhaps your long retained CPA or attorney decides to retire and you need a new advisor. Or your bank, despite the nice man at the Business Desk, just doesn’t offer the tools to meet your needs today. As unsettling, or annoying, as it may be to revisit these decisions, in fact, the net effect may be a positive push in a better direction.

Being pushed into change truly may be a “change for the better,” as that saying goes. The new accountant may be savvier on lease versus buy decisions, or on how to finally get you to fund your profit sharing plan. Likewise, a new attorney may have different advice on negotiating contract terms that can be beneficial for your business. And that new banker may be much more business friendly than the last one, who really preferred to do consumer lending.

The same thing may happen with the business solutions you use. Case in point, many small businesses who use Intuit QuickBooks to manage their business selected the Pro Timer program years ago. They made the decision to install a nice, simple time tracking solution that sat on each user’s PC. It would collect time entries and forward them to QuickBooks before each payroll cycle. Good concept and functionality, but despite the ongoing investment by Intuit, not an application that could deliver the exceptional service and user experience that defines that company’s solutions. So they are soon to discontinue it and the search for a Pro Timer replacement will be in the cards. And many small businesses are faced with an unplanned change – and a potential change for the better.

With today’s increasingly mobile workforce and the extensive time tracking and reporting needs of its users, there are potentially better mobile time tracking solutions available. Solutions that run on the user’s PC and on the employee’s mobile phone so you can collect accurate information no matter where the employee is working. Solutions that provide not only time tracking but also collect billing information and notes. Solutions that help you manage your business needs as they are today by providing proactive overtime alerts, or a listing of who’s working – all on your mobile phone. Solutions that give you more control by letting you view employee time information before the payroll runs and presenting it in both report and graphical format. Solutions that may be far better than the one you had.

If you’re faced with this real life need for change, check out TSheets Time Tracking for Employees on the Intuit App Center. It syncs seamlessly with QuickBooks and is a good Pro Timer alternative. Change is good.

Do you ever press ‘reload’ or ‘refresh’ on your computer? You know, update contents? (Hint, the shortcut for that is the F5 key for most computers, anyway.) I bet you do, when you want to make sure you’re seeing the latest stock prices or news, or the people viewing your LinkedIn page.

Do you ever press the refresh key on your business? Do you ever hit the reload key on your business processes? Hmm, you might not and perhaps it’s because, unlike stock prices, you weren’t focused on the fresh content that’s out there.

Inertia. Remember that from physics class? Inertia – the resistance of any physical object to a change in its state of motion or rest. Aka, the status quo. The anti-F5 key.

Many of us running businesses get addicted to running business as usual, without pressing the mental F5 key to think about fresher or newer ways of doing business. After all, the day is full – managing employees, clients, finances and sales. But doing things the same way they’ve always been done without a refresh means we’re looking at old content with outdated approaches.

Here are 5 areas you might want to think about:

Mobile. When we say everyone has a mobile phone, and that usually means a smartphone, we’re not exaggerating. Are you factoring this technology into how you run your business? Don’t believe me?

US mobile phone and smartphone penetration, by generation, May 2012:

Gen Z (18-23): 95% have a mobile phone / 64% have a smartphone

Gen Y Millennials (24-32): 97% / 72%

Gen X (33-46): 95% / 61%

Younger boomers (47-56): 92% / 39%

Older boomers (57-67): 89% / 28%

Golden generation (68-88): 85% / 16%

TOTAL: 93% / 50%

Internet. Some marketing research indicates that buyers are about 60% of the way into the decision process online before sales people even get involved. Buyers do a lot of on research your products and services, reviews and prices before you even get a word in. Checked your Internet profile lately?

Social media. Good, bad or ugly, we’re connected and we’ve given up a lot of our privacy to share photo’s, contacts and meme’s (those silly print cartoons). Does your business have a social media presence? Should it?

Cloud technology. Once upon a time you needed to insert CDs or even disks into your computer to load software. Can’t remember that last time I did that. Now I’m running most of my software apps in the cloud – on someone else’s servers, and loving it. Not because it’s cool, but because it’s easier, less expensive and secure. Are you leveraging the cloud?

Remote workers. Once upon a time, everyone came to the office. For many companies, the office has less relevance today. Savvy business people go to their clients and buyers, and stay connected with their mobile devices. Are your employees spending too much time in the office?

Press F5 and see what happens in your business. Refresh.

This year’s theme, “Find Your Platform,” is about showing how software companies are not just solving specific problems, but building integrated solutions that scale and serve a wide user base. Find Your Platform will also challenge each of us to find our own platform for success.

Tech Cocktail Boise, presented by Cradlepoint, will also be back to help promote our local startup companies at the Startup Innovation Showcase mixer in the evening. We’ll circle back to the startups that are selected to present.

Learn from world-class tech innovators at develop.idaho 2013

This year’s keynote speaker is Mikkel Svane, founder of Zendesk. Before he launched his company, Svane realized that all help desk solutions were difficult to integrate, expensive, and hard to use. To solve this, he founded Zendesk, an intuitive help desk software that integrates with other applications seamlessly through an open framework. Since Zendesk was founded in 2007, the company has grown substantially and now serves more than 20,000 companies in 140 countries. Mikkel Svane’s experience in creating an integrated solution that scaled to serve a wide customer base makes him the perfect keynote speaker for this year’s theme, Find Your Platform.

Attend Mikkel Svane’s keynote address at develop.idaho if…

…You want to learn how to use software to keep your customer as the central focus

….You want to learn how software can be used to streamline complicated processes and improve customer engagement

If you’re using the TSheets native Android and iOS apps or TSheets Touch (our mobile optimized web time tracking option) then chances are you’ve noticed that you can gather GPS information with your timesheets, but have you been able to take full advantage of this feature yet? Here are some TSheets Tips & Tricks to get GPS to work better for you!

Some background information…

To better understand how to maximize your GPS information, it will help to know the basics of how TSheets gathers GPS information.

GPS information will be recorded whenever an employee:

* Clocks in
* Clocks out
* Switches job codes
* Adds notes to the timesheet

GPS information will continue to be recorded, in addition to the above circumstances, when the following conditions are met:

* The app is open
* The individual is clocked in
* There is new GPS information being recorded by the device to send into TSheets.

GPS information will NOT be recorded if:

▪	The individual is off the clock
▪	Location Services have been disabled for the TSheets app or the entire device.
▪	The TSheets app is closed
▪	The device is unable to pull GPS information (poor reception, poor performance, etc.)

Best practices…

So as an employer or an account administrator, how can you ensure that GPS information is being recorded for your employees’ timesheets? Here are some helpful hints and best practices:

▪	Confirm that location services are enabled for the device and for the TSheets app specifically.
▪	Have your employees leave notes periodically throughout their shift.
▪	Make sure that your employees pay attention to the unsynced data on the device. In other words, when your employees first open the app to clock in for the day, make sure that they wait for the app to sync down the information for the day before continuing. This will happen each time that they open the app or change information such as clocking in or out, and ensuring that the app has time to finish syncing will result in more consistent GPS information.

Troubleshooting…

If you’re noticing that no matter how hard you try, you still can’t get GPS information to pull down for your timesheet information here are some troubleshooting steps that will do wonders.

1. Open the TSheets app and clock in.
2. Count to 5 or 10 while the app is open, then close the app for a few minutes (5 to 10 should do the trick.)
3. In the meantime, open up another mapping app on the device (or any app that utilizes GPS information) and wait for that app to pull up your current GPS location. Make sure it’s accurate then you can close or background this app, whichever you prefer.
4. Open the app again, and leave a note on the timesheet. Tap save and wait for the app to complete a sync.
5. Tap Stop to clock out and again count to 5 or 10 before fully closing the app.
6. Review your GPS information online to see if it was able to pull accurate GPS data.

Of course if all of the above information hasn’t been able to get your GPS questions resolved, you can always reach out to our support team at our Help Desk to get additional assistance :)
